The confidentiality of your personal data is one of the main concerns of ASOCIAȚIA JCI ACTIVE CITIZENS MUREȘ, Tax ID: 36165107, acting as data controller.

This document is intended to inform you about the processing of your personal data in the context of your registration and participation in the conference organized through the website www.cn2026.jcimures.ro ("the Conference", "the Site").

II. CATEGORIES OF PERSONAL DATA PROCESSED

If you register for the Conference, we process the data you provide directly in the registration form, namely:

• identification data: first name, last name;

• contact data: email address, phone number;

• billing data: company name, Tax ID, registered address (if you request a fiscal invoice);

• participation data: dietary preferences/restrictions/allergies (for meal planning), accommodation preferences (if applicable);

• payment-related data: processed through the agreed payment processor; we do not store full bank card details;

• photo/video images: taken during the event, in which you may appear.

III. PURPOSES AND LEGAL BASIS FOR PROCESSING

1. For managing registration and participation in the Conference (processing the registration form, issuing the badge, logistical organization, communications related to the program).

• Legal basis: taking pre-contractual steps at your request, and performance of the participation contract.

• Providing this data is necessary for registration; refusal to provide it may make participation in the Conference impossible.

2. For issuing the fiscal invoice, when you request one.

• Legal basis: legal obligation (Romanian tax and accounting legislation).

• Providing billing data is only necessary if you request an invoice; refusal does not affect participation, only the ability to issue an invoice.

3. For organizing logistics related to meals/accommodation (e.g., dietary restrictions, allergies).

• Legal basis: your consent.

• Providing this data is voluntary. Refusal has no negative consequences for your participation, but the organizer will not be able to adapt the menu/accommodation to your specific needs.

4. For taking and publishing photographs/video materials during the event, for the purpose of promoting the Conference and JCI activities (website, social media, reporting materials).

• Legal basis: your consent, given at registration or on-site.

• You may withdraw your consent at any time by contacting the team; withdrawal does not affect the lawfulness of processing carried out before withdrawal.

5. For marketing activities (information about future JCI events).

• Legal basis: your consent, given by checking the corresponding box.

• You may unsubscribe at any time via the link in communications or by contacting the team.

6. For resolving complaints and improving the participant experience.

• Legal basis: the organizer's legitimate interest.

IV. DURATION OF DATA PROCESSING

Registration and participation data will be retained for the duration of organizing the Conference and afterward, for a reasonable period necessary to resolve any requests. Billing data will be retained in accordance with the legal financial/accounting archiving periods (10 years, under Romanian law). Photographs/video materials may be retained for a longer period, for archival and promotional purposes, until you withdraw your consent.

V. DISCLOSURE OF PERSONAL DATA

To fulfill the purposes above, data may be disclosed to:

• the online payment processor, for processing the participation fee;

• billing and accounting service providers;

• the partner venue/hotel and catering provider, to the extent necessary for logistical organization;

• the event photographer/videographer;

• IT service providers supporting the operation of the Site;

• other partners and sponsors for comercial reasons;

• public authorities, when required by law.

VI. TRANSFER OF PERSONAL DATA

Data may be transferred outside Romania to states within the European Union.

VII. YOUR RIGHTS

Under the conditions provided by data protection legislation, as a data subject, you benefit from the following rights:

• For photographs/video materials, you have the right to request the withdrawal of your image from materials not yet published, as well as removal from published materials, to the extent technically possible. 

• Right to information — the right to receive details about the processing activities carried out by the website owner, as described in this document.

• Right of access — the right to obtain confirmation from the website owner as to whether your personal data is being processed, as well as details about the processing activities, such as how the data is processed, the purpose of processing, the recipients or categories of recipients of the data, etc.

• Right to rectification — the right to obtain, without undue delay, correction by the website owner of inaccurate/unjustified personal data, as well as completion of incomplete data. The rectification/completion will be communicated to each recipient to whom the data was transmitted, unless this proves impossible or requires disproportionate effort.

• Right to erasure ("right to be forgotten"), without undue delay, where one of the following applies:

  • the data is no longer necessary for the purposes for which it was collected or processed;

  • consent has been withdrawn and there is no other legal basis for processing;

  • the data subject objects to the processing and there are no overriding legitimate grounds;

  • the personal data has been processed unlawfully;

  • the personal data must be erased to comply with a legal obligation;

  • the personal data was collected in relation to the offer of information society services under EU or national law applicable to the controller.

• Following a deletion request, the website owner may anonymize the data (thus removing its personal character) and continue processing it for statistical purposes.

• Right to restriction of processing, to the extent that:

  • the person contests the accuracy of the data, for a period allowing verification of accuracy;

  • the processing is unlawful and the data subject opposes deletion, requesting restriction of use instead;

  • the controller no longer needs the personal data for processing purposes, but the data subject requests it for the establishment, exercise, or defense of a legal claim; or

• Right to data portability — namely (i) the right to receive personal data in a structured, commonly used, and machine-readable format, and (ii) the right to have this data transmitted by the website owner to another data controller, provided the legal conditions are met.

• Right to object — with respect to processing activities, exercised by submitting a request as indicated below:
